​Job Summary:
The Property Management Virtual Assistant is responsible for overseeing various administrative and operational tasks within property management. This remote position requires strong organizational, communication, and technical skills to ensure efficient property operations and excellent tenant relations.

Job Duties and Responsibilities:

Manage the company’s Facebook account, including engaging with followers and responding to inquiries.

Post ads on Craigslist and Zillow to promote available properties.

Schedule appointments and set one-hour confirmation reminders and post-viewing emails.
-
Generate more appointments and follow up with past appointments to ensure tenant engagement.
-
Import information into the database to maintain accurate records.
-
Process new applications and supporting documents for prospective tenants.
-
Send emails regarding missing documents and follow up on pending applications.
-
Approve applicants and set up approval emails for lease signing.
-
Send welcome letters to new tenants and set follow-up reminders to check in upon move-in.

Check for lease renewals 60 days in advance and send offers to tenants.

Review month-to-month tenants for the last rent increase and draft lease renewals for signature.

Input data from Chase and Amex accounts into the property management system; send reminders on day 10 and day 20 for payment follow-ups.

Input vendor information into Buildium and manage vendor relationships.

Review and respond to work orders and questions via text, ensuring timely communication.

Manage property email accounts, addressing tenant inquiries and concerns promptly.

Oversee tenant applications and follow-up communication throughout the application process.

Design promotional flyers for property listings and manage the property management calendar.

Address tenant concerns and coordinate maintenance requests efficiently.
Job Requirements:

Proven experience in property management or a related field.

Exceptional organizational and time management skills.

Strong written and verbal communication skills.

Proficiency in property management software, such as Buildium, and other relevant tools.

Ability to multitask and work independently in a remote environment.

Strong internet research skills and attention to detail.

Familiarity with social media management and advertising platforms.

Reliable internet connection and a quiet workspace.
Preferred Previous Work Experiences:

Prior experience in a virtual assistant role within property management.

Familiarity with real estate advertising platforms such as Craigslist and Zillow.

Experience handling tenant relations and managing maintenance requests.

Demonstrated success in managing multiple tasks and priorities effectively.
Working Conditions:

This is a remote position, allowing for flexible work hours.

The role may require availability to respond to tenant inquiries outside regular business hours.
Supervision:
The Property Management Virtual Assistant will work closely with the property management team, ensuring effective communication and collaboration through virtual channels.
